It then files the data in a central, historized data store. Customer Service, Sales, and Receivables Management access the same data through role-based permissions. Transcription errors from manual data entry are gone.

The day used to begin with Excel reports

Data maintenance at SGB Energie GmbH began each day with the same set of Excel reports. Master data and receivables sat in spreadsheets on SharePoint. With every status change, an employee copied the information by hand from one system into the next. As the customer base grew, transcription errors rose with it.

The cause was a missing interface between the external process service provider and the internal customer management system. Status changes therefore reached the internal systems late. When disputes arose, responsibility for them stayed unclear. 5 hours a week went into coordination with no benefit.

Every department sees the same data

We developed an application that consolidates the holdings of both systems overnight. The SGB Tool captures master data, status changes, and open items for goods and services and makes them available to departments through role-based permissions. Staff work with it without technical knowledge and sign in through Microsoft Entra ID. Every data access is logged.

The open items form the foundation of Receivables Management. They show which items for goods and services are still outstanding and which have been settled. Receivables Management spots overdue items immediately and runs the dunning process on a reliable data foundation.

Because no one transfers status changes by hand anymore, the most common source of error is gone. A service agent used to check several spreadsheets and coordinate by phone with the service provider. Today, she reads the delivery status directly in the SGB Tool. The consolidated holding serves as the central foundation for every report.

Three departments work from one data foundation

Sales, Customer Service, and Receivables Management now work from a shared, up-to-date set of data. Sales sees a customer's delivery status without calling the service provider. Receivables Management spots overdue amounts the same day and keeps its open items in view. The coordination time won back benefits customer support. Management analyzes its key figures without first having the data quality checked.
